Job Description: 

The EcoFarm Administrative Coordinator is the primary staff person responsible for keeping the office running efficiently on a continuous basis and provides operational support as needed. The ideal candidate is highly motivated, detail-oriented, self-starting, and adept at providing a high level of customer service while managing multiple priorities with competing deadlines. He/she works professionally and respectfully within a fast paced environment. Experience using databases, maintaining the office filing/record keeping system and certain bookkeeping duties are key components of this position. This job requires attendance at the EcoFarm Conference that is held every January at the Asilomar Conference Grounds in Pacific Grove, CA where he/she provides onsite administrative and production logistical support. (Lodging and meals are provided during conference).

Duties & Responsibilities: 

Administrative Responsibilities

- Serves as office receptionist; answers phones, takes messages, greets public
- Monitors multiple email accounts; follow up on inquiries
- Maintains office equipment, supplies and offsite storage space
- Retrieves, sorts and distributes mail
- Manages CiviCRM Database and updates all digital filing
- Establish and maintain office procedures, records and calendar
- Supports the Executive Director and his/her work with the Board of Directors, the Planning Committee and others
- Supports fundraising efforts and is a member of the Sponsor Development Team
- Supports staff, programs, and special projects including logistical production support of the annual EcoFarm Conference
- Manage EcoFarm’s semi-weekly online job posting service
- Assist with speaker travel booking and oversee conference group registration
- Responsible for staff meeting arrangements and agenda content
- Responsible for data entry and support of EcoFarm mobile app

Bookkeeping Responsibilities

- Manages accounts receivables and accounts payables
- Prepares and processes invoices with Executive Director’s oversight
- Prepares and processes bank deposits
- Manages online merchant accounts
- Maintains paper and electronic filing

Education & Experience: 

Required Qualifications
- Proficiency with MAC OS or equivalent OS
- QuickBooks, Excel, Word
- Google Suite including Docs/Spreadsheets, Gmail, and Calendars

Preferred Qualifications (not required)
- Prefer applicant has minimum of two years administrative experience.
- MailChimp
- CiviCRM or other customer relationship database (CRM) and/or project management experience
