Food Procurement & Special Events Coordinator Opening

EcoFarm is seeking a Food Procurement & Special Events Coordinator to coordinate the menu and special events to be held at the 39th annual EcoFarm Conference, January 23 - 26, 2019. 

Food Donation Coordination:
Solicit and coordinate logistics for all food donations based on menu including:
▪Manage donor solicitation through letters, email and phone.
▪Coordinate shipping and deliveries of food.
▪Receive and organize onsite deliveries, dining hall logistics as needed.
▪Coordinate food donor benefits.

Special Events Coordination:
▪ Co-manage special events with conference contractor- contact event hosts, coordinate catering, and oversee events onsite during the conference.
▪ Assist in management of any pre-conference events.
▪ Work to arrange book signings with the program coordinator and bookstore company.
▪ Assist with general tasks and support conference production as needed.

Qualifications: 
▪ Experience in donor solicitation, catering and/or food service, and event production.
▪ Detail-oriented with multiple streams of data.
▪ Professional and effective under pressure of multiple production details and deadlines.
▪ Experience with Excel, and Google platform of Sheets, Docs, etc.
▪ Excellent interpersonal skills
▪ Customer service-oriented.
▪ Skilled in marketing outreach/solicitation by phone and email.
▪ Compassionate, kind and supportive of team and contributes to a positive work environment.
▪ Knowledgeable and supportive of organic and sustainable food and farming.
▪ Must possess a valid driver's license.

Physical Requirements:
This is primarily an office-based job however during events it requires additional physical abilities. Applicants must be able to sit, stand, and walk for extended periods of time, must be able to walk up and down stairs, and must be able to lift and carry up to fifty (50) pounds for short distances.

The ideal candidate will have relevant experience and demonstrated competency in food procurement and event coordination. This position requires an energetic, self-starting, detail-oriented individual with a high level of organizational skills who is able to handle concurrent multiple projects. This position is supervised by the Executive Director and works with all team members.

Compensation:

Seasonal Position (August through mid-February), $18/hour 20-30+ hours/week, 40 hours during the conference week for prep and coordination. This position is not eligible for benefits.

Program Internship Opening

 

EcoFarm is offering an opportunity for a Program Intern to assist in the planning and organizing of the 39th annual Ecological Farming Conference, January 23 - 26, 2019. The ideal candidate will be able to juggle multiple projects at once and to meet high standards of accuracy and timeliness. EcoFarm Conference is the oldest and largest agricultural event in the West, and this position will have a hand the conference planning and take leadership on aspects of the conference production. EcoFarm is dedicated to providing the Program Intern with the support and oversight necessary to make the internship a valuable opportunity to acquire experience and training.

This is not a paid position. Hours are flexible, but preference will be given to someone who can commit to 10-18 hours per week.

Required duties:

  • Work with EcoFarm staff to plan, promote, and administer the EcoFarm Conference programs including:
  • Assisting in coordination of the EcoFarm Scholarship Program.
  • Supporting the Program Coordinator in organizing speakers, workshops, and events.
  • Working with the Communications team in editing documents for online and print media.
  • Helping EcoFarm staff in management of all necessary details of the conference production schedule.

Qualifications:

  • Self-starter with demonstrated follow-through.
  • Detail-oriented, especially with multiple streams of data.
  • Excellent communication skills.
  • Able to take direction from multiple staff members.
  • Produce high quality work in a deadline-driven environment.
  • Experience with CiviCRM, Google Docs, Google Spreadsheets, Google Drive and other applications.
  • Mac computer experience.
  • Database experience and IT knowledge a plus.
  • Experience with Microsoft Office, especially Excel.

The ideal candidate will also:

  • Attend and assist staff at the 39th annual EcoFarm Conference, from January 23 - 26, 2018 at the Asilomar Conference Grounds in Pacific Grove, CA.
  • Have an interest in and commitment to EcoFarm’s mission in ecological agriculture.
